Start here to learn your options for filing

No matter where you are in the country, Airline Crew Services can help you complete and file your taxes. Learn more about our mail-in, fax-in, and drop-off or walk-in services. You can also learn about filing an extension, and which form is right for you - the "Tax Organizer" or "General Information." Whatever your tax preparation and filing needs, we're here for you.

Note: If you're submitting via traditional mail, please send us copies of your original forms. This is to help avoid any inconvenience to you in case your forms are lost or damaged in the mail.

 

Step 1: Gather all of your appropriate tax documents, and copy or print your last paystub of the year. Make sure your Year to Date totals for non-taxable per diem and union dues are showing on your paystub (if applicable to you).

Step 2: Print either the "Tax Organizer" long form or the "General Information" short form and complete it. To learn which one to use, see information below.

Step 3: Print your company end of month report showing the cities or city codes of your layovers and the duration of your rotations, pairings, and trips. Make note of when and where any company or FAA training took place. The per diem calculation worksheet can be used in place of this.

Step 4: Mail these items to us at Airline Crew Taxes, 5530 Greens Rd., Houston, TX 77032. You should receive a call or email when your documents are received. If you do not receive confirmation after 7 business days, please contact us.

 

Our processing time is 10-12 business days from receipt of your documents. When your file is ready, we will call you to request authorization to file your tax return and make payment arrangements.

Mail-in instructions

Note: You will not hear a fax tone when you fax in. An automated voicemail system will answer your call - this is when you should press start or send on your fax machine. There is a 50 page limit per fax, so please send 2 faxes if over 50 pages.

If your W-2 does not list your per diem (usually in box 12), please look at your last paystub and find your Year to Date total of non-taxable per diem to list on the organizer.

Step 2: Print either the "Tax Organizer" long form or the "General Information" short form and complete it. To learn which one to use, see information below.

Step 4: Fax documents and worksheets to 844-273-9289 (844-CREW-TAX). You do not need a cover page - just make sure your name is listed on every page. If you have not received a call or email confirming receipt of your documents within 3 business days, please contact us.

 

Our processing time is 4-7 business days from receipt of your documents. We will contact you if we need more information to complete your file. When your file is complete, we will call you to get authorization to file your tax return and make payment arrangements.

Drop-off or walk-in instructions

If you live in the Houston area, you can stop by our office for consultation or drop-off services. Please refer to the mail-in instructions provided for the documentation requirements for both drop-off and in-office appointments.

 

Note: Arrangements can be made in advance for you to drop off your taxes at the beginning of a pairing or trip and have them prepared by the end of that pairing or trip. More time might be needed for more complicated filings.

Get help to file an extension

If you want help to file an extension, or would like us to file one for you, please provide any W-2's you have via fax, mail, or drop-off. If you're filing jointly, please provide W-2's for both of you.

 

As long as we receive your W-2 or W-2's by April 15th, we will file your extension. We will make arrangements with you after the 15th to complete the rest of your file. There is a $10 charge.

Choose the right form

If you are a new or existing client who wants to maximize your return by itemizing your expenses, you want the "Tax Organizer" form. You will need to fill out as much of the organizer as possible, and if there are expenses that may apply to your return, please write them down.

 

If your tax situation does not require itemizing expenses, or you have not experienced any major life events, then you should choose the "General Information" form. If you are not itemizing your expenses, you do not need to fill out a per diem calculator form.
